How to install SAP GUI on Windows (step by step)

SAP GUI (also called SAP Logon) is the desktop client you use to connect to SAP systems. This guide walks through a clean installation on Windows, what to choose during setup, and how to add your first connection.

Before you start

SAP GUI is licensed software distributed by SAP. You normally get the installer from your own organisation — typically from a shared drive, a software portal, or your Basis/IT team — because it requires SAP credentials to download from SAP's own site. If you're a customer, the installer is on the SAP Software Download Center; if you're an employee, ask your IT department for the approved package.

Only install SAP GUI from your organisation's official source. Avoid third-party "download SAP GUI free" sites — they are not authorised and may bundle unwanted software.

Which version?

The current family is SAP GUI for Windows 8.0, with 7.70 still widely used. Newer versions store your system list in SAPUILandscape.xml (SAP GUI 7.10 and later), which is what makes it easy to back up and move — see our guide on where SAPUILandscape.xml lives.

Step 1 — Run the installer

Extract the installer package if it came as an archive, then run SetupAll.exe (or NwSapSetup.exe). You'll usually need local administrator rights. If your organisation provides a pre-configured package, just run it and follow the prompts.

Step 2 — Choose components

The setup lets you pick components. For most users the defaults are fine. The key one is SAP GUI for Windows itself. You may also see options for:

  • SAP GUI — the core client (required).
  • Business Explorer (BW) — only if you work with SAP BW / BEx.
  • SAP GUI scripting — enable if you automate the GUI; otherwise skip.

Pick what you need and continue. The installer copies files and finishes.

Step 3 — Launch SAP Logon

After installation, open SAP Logon from the Start menu. The first time, your system list will be empty — that's expected on a fresh install.

Step 4 — Add your first system

Click New (or the "+" / "Add New Entry" button), then enter the connection details your Basis team gives you: application server or message server, system ID (SID), instance number, and (if needed) a SAP router string. Common issues

  • "You do not have permission" — run the installer as administrator.
  • Old version won't upgrade — uninstall the previous SAP GUI first, then install the new one.
  • Systems missing after reinstall — you likely didn't keep SAPUILandscape.xml. Back it up next time; see backing up SAP GUI settings.
